You can view and edit the responses received for individual form submissions from the Analyse tab.

Note: Only users with the correct permissions will be able to view submissions and/or edit them.

View submission

Navigate to the Analyse tab (1), select the Grid (2) and find the submission you want to view. Click on the “View” icon next to the submission (3). This will open a read-only version of the submission for you to view. You will be able to see (but not edit) important metadata for the form as well as the response given for each field.

Note: when viewing a submission, it is displayed exactly the same as when the form was completed and submitted. I.e. the same version as when the submission was completed. This may be a different version to the latest published version. Read more about versioning here: Form version management

Edit submission

Navigate to the Analyse tab (1), select the Grid (2) and find the submission you want to edit. Click on the "Edit" icon next to the submission (3). This will open a preview of the submission similar to the above (when viewing a submission), but it will allow you to edit individual responses to fields.

Note: when editing a submission, it will be displayed exactly the same as when the form was completed and submitted. I.e. the same version as when the submission was completed. This may be a different version to the latest published version. Read more about versioning here: Form version management

Once you have made edits to the submission, click on the "Save" button at the bottom of the form (4). A pop-up will appear in which you can add a comment for each change that was made to the submission (5). Click the 'duplicate' icon(6) if you want to use the same comment for all responses that were modified . Click "OK" (7). These changes will update in the grid and will be exported with your data.

A full audit history of all changes made is stored allowing you to always see what the original response was, who changed it, when it was changed, and why it was changed (based on the comments you entered for each change).

You can see this when viewing or editing the submission again.
