To view an individual data collector, select the team member from the Team tab. This is useful if you would like an overview of the data collector's recent activity, as well as their current form and handset assignments.

When you view an individual data collector, the following information will be available:

User details and recent activity

A data collector's details would typically consist of their first and last name, workspace role, any tags assigned to them and their access code. For a console user, the email address that they use to log in with, will appear too.

Below the user details, you will be able to see the data collector's recent activity. If the data collector has been active, you will see when they downloaded forms, uploaded submissions, and when you communicated with them for example. 

Submissions and weekly activity chart

A chart presents information about the data collector's submissions over the past 30 days.

When viewing the weekly activity chart, you can select the 7 day period that you would like to view. If you change the From date, the To date will update accordingly and vice versa. You can also select the time slots that you would like to view. The default time will be 08H00 to 17h00. 

If you were to switch to another data collector, the new date filter that you selected would stay the same, but the time will return to the default. 

Each submission is plotted based on its start and end time. Submissions are colour-coded based on which form they belong to. This is helpful when a data collector is assigned to multiple forms.

The screenshot below shows an example of the chart where the data collector has submissions for two forms, and the time range has been changed to 12h00 - 18h00.

Hovering over a submission displays a pop-up containing further information about the submission. This includes the name of the form that was completed and the sequence number for the submission (the submissions are numbered starting at 1 each day). The time that the submission was started and completed, its duration, and how many responses were captured in the submission are also displayed. This can help you see whether the duration of the form aligns with the amount of data captured.

The colours of the submissions are dynamic, and can vary from one date/time range to the next, so a legend is displayed below the chart. The legend will not be visible if there are no submissions to plot.

Data collector actions menu

This is on the right-hand side of the page and enables you to manage certain actions relating to the specific data collector:

  • Communicate with the data collector by sending messages and attachments to the team member. See here for more information.
  • Add tags: team members can be tagged, based on team, country or project for example to manage users more easily.
  • Remove tags: existing tags can be removed from the specific team member.
  • Edit user: update a user's first and last name, role or their permissions.
  • Delete user: completely remove a user from the account. 

Note: only users with the relevant permissions ("Manage Data Collectors and Assignments") can manage/edit team members.

Workspace access

On the right-hand panel under "Workspace Access", all the workspaces that the users has access to will be listed. The type of access (i.e. the user's role in the specific workspace) will be indicated in brackets next to each workspace.

To edit the user's role in a workspace or remove the user from a workspace, simply select the settings cog next to the relevant workspace and choose the action.

Note: only users with the relevant permissions ("Manage Data Collectors and Assignments") can manage and view team members workspace access.

Form assignments menu

On the right-hand side of the page you will be able to see all the forms currently assigned to the team member. The icon next to the form name indicates whether the data collector has the latest version of the form (green) or not (yellow). You can select to unassign all forms from a data collector, if you have the "Manage Data Collectors and Assignments" permission.

Handset assignments menu

This is on the right-hand side of the page. You will be able to see all handsets currently assigned to a data collector here as well as the asset code associated with the handset (if any). You will also be able to unassign all handsets currently assigned to the data collector,  if you have the "Manage handsets for the workspace" permission.

Note: only users with the relevant permissions ("Manage handsets for the workspace") can manage/edit handsets.
