As an Account Owner, you are able to export all data associated with your organisation's account. You can access this feature by opening your account menu by clicking on your name (1) and navigating to My Account (2) and then selecting Data export (3) from the right hand menu.  




 



You will be directed to the Data Exports page. This page lists previous exports that you have requested and lets you request new exports.



Creating a new data export

Your account data is organised into a folder structure allowing you to export all data (by selecting the "Account" checkbox), or selectively choosing the data you wish to export (e.g. only the submission data for a specific workspace or form).


Note: exports can be very large so we recommend you only select the data you actually need and access downloads only if you have an unlimited/uncapped internet connection.


It should also be noted that, unlike exporting data for a specific form which includes near real-time data, the account export feature only includes data up to the end of the previous day and is only updated daily. Therefore, to ensure that your export includes all data, you should wait at least 24 hours following the last activity on your account before requesting an export.


Files included in your export

When you request an export, a compressed .zip archive is generated that you can download once the export is ready. This will appear under the "Existing data exports" list.


Depending on the data you choose to include in the export, the .zip archive will include files and folders that are described below. 


Account-level data

At the account level, you can choose to include the following data files:

manifest.jsonA JSON file containing a list of all possible files that the export could include, along with timestamps of when the file was last updated.
users.csvA CSV file containing a summary of all users linked to your account including first name, last name, email and roles for each workspace they have access to.


Workspace-level data


A folder is displayed for each workspace in your account. You can tick the checkbox for the workspace to include all data relating to that workspace, or you can expand the folder to select what data should be included (down to the form level). 


At the workspace-level, you can choose to include the following data.

A folder containing all resources that were uploaded into the workspace resource library and may have been referenced by forms within the workspace.


Should you wish, you can can expand this folder to select individual resources to include/exclude.


Form-level data


A folder is displayed for each form within the selected workspace. You can tick the checkbox for the form to include all data relating to that form, or you can expand the form folder to select what data should be included.

SubmissionData/data_stattransfer.zipA Stat/Transfer export of all submission data for the form.
SubmissionData/data_xlsx.xlsxA Microsoft Excel export of all submission data for the form.
SubmissionMedia/A folder will be displayed for each submission. Within this folder, any media (images, video, audio, signatures, documents) captured for the submission will be listed.



Existing data exports

Depending on the size of your account and the number of files/folders selected, an export can take some time to prepare. Once an export is ready, it will appear in the existing exports list for one week (7 days) before being deleted automatically (meaning you will need to request the export again - the actual data within your account is not impacted).


To download an export, click on the file size hyperlink (indicated in blue) once the status is "Complete".
